(CRM) Create and Manage Proposals in a Deal

Summary

This tutorial shows you how to create, version, preview, update statuses, and send professional proposals directly from a Deal in BuilderPal’s Clients (CRM).

Prerequisites

  • Admin (GC), Admin (SUB), Team Business Manager, or Team Project Manager role

  • An existing Deal already created in the Client Dashboard

Steps

  1. Open the Deal — From the Client Dashboard, click the deal card you want to work on to open its detail view.

  2. Go to the Proposals tab — Inside the deal detail view, click the Proposals tab to see all existing proposals and versions.

  3. Create a new proposal or version — Click New Proposal (or Add +)


  4. Build or refine the proposal — Use the Project Builder chat or fill in the Proposal Amount and Notes. Tap SAVE when ready. You can create multiple versions as pricing or scope changes.

  5. Share the proposal with the client — Proposals are automatically shared with the client once completed. To reshare, Confirm in the popup and tap UNSHARE, then you will be able to SHARE again. A green banner confirms “Proposal shared with client.”
    (Note: Client invitations happen automatically when you first share a proposal.)

  6. Track client activity and updates — Switch to the MESSAGES tab to see real-time status: “Proposal shared with client,” client review progress, and any messages. Use the CLIENT UPDATES button to send notes, files, or progress updates directly to the client.

    1. Monitor client review (optional – client side view) — The client receives an email and reviews the proposal in their secure Client Portal. They can Approve, Approve with Conditions, Request Changes, Decline, or sign digitally.

    2. Convert an accepted proposal into a Project — When the proposal shows Accepted, you can convert the proposal to a Project. Projects are created as a draft in "Planning Mode" that can go online by creating the project when you're ready to hire trades.
      You can convert proposals at anytime, even from a draft proposal, to a project.

Confirmation

You’ll know it worked when the proposal appears in the Proposals list with the updated status, and the client receives an email notification giving them access to view the proposal (and all previous versions) in their secure Client Portal.

FAQ

Q: What proposal statuses are available?
Typical statuses include Draft, Sent, Viewed, Negotiating, and Accepted (the system can auto-update some statuses when the client interacts).

Q: Can clients see every version of a proposal?
Yes — all versions are visible to the client in their Client Portal so they can review the full history.

Q: How do I preview what the client will see?
Use the Preview button inside any proposal — it shows the exact formatted view the client will receive.

Q: What happens when a client accepts a proposal?
The status changes to Accepted and you can then mark the entire Deal as Won to convert it into a Project.
